BOOKING INFORMATION

When plans change, clarity matters.

The terms in your confirmed PCTI proposal or invoice apply to your individual journey. This page explains our general approach.

Your journey is individually arranged and contracted.

Hotels, transport, guides, flights, trains, safaris, permits and special experiences each have their own payment, amendment and cancellation conditions. The exact schedule and charges for your journey will therefore be stated in the confirmed quotation, proposal or invoice issued by Pacific Classic Tours India (PCTI). Those booking-specific terms take priority over this general explanation.

1. Before confirmation

You may discuss and revise a proposed itinerary before paying the stated deposit. A service is not confirmed until PCTI accepts the booking in writing and receives the payment required by the proposal. Availability and price may change until that confirmation is issued.

2. If you need to cancel

Tell us in writing as soon as possible, preferably by replying to the booking email. A cancellation takes effect when PCTI receives and acknowledges the written notice. We may verify the instruction with the lead traveller or person who made the booking before releasing arrangements.

Charges will be calculated under your confirmed booking terms and may include work already completed, PCTI’s stated cancellation charge and amounts paid or committed to suppliers that cannot be recovered. The closer a cancellation is to departure, the more likely it is that supplier charges will increase.

3. Amendments and name or date changes

We will try to assist with a requested change, but it remains subject to availability and supplier approval. Hotels, airlines, rail operators, safari authorities and other providers may treat a date change, name change, reduced stay or removal of a service as a cancellation followed by a new booking. We will explain the available option and known additional cost before proceeding.

4. Non-refundable and time-sensitive services

Certain flights, rail tickets, permits, safari entries, event tickets, festive-period stays, villas, cruises and special arrangements may become partly or fully non-refundable from the time they are booked. Where this applies, we will identify it in the proposal when reasonably possible; a supplier may also introduce a stricter condition when availability is reconfirmed.

5. Refund review and timing

After a cancellation, we will cancel the relevant services and request any amounts recoverable under the applicable supplier terms. A refund, if due, is calculated after supplier responses and final reconciliation, less the charges stated in your booking terms. International banking, card processing and currency conversion can affect the amount received and the time taken. We will keep you informed rather than promise a fixed date before suppliers have completed their review.

6. Changes or cancellation beyond your control

Weather, natural events, government action, public-health measures, strikes, transport disruption, closures or other circumstances outside reasonable control may require a change, postponement or cancellation. We will explain practicable alternatives and the financial effect of the suppliers’ conditions. Recoverability may differ from the amount originally paid, which is why suitable travel insurance is important.

7. No-shows and unused services

Missing a departure, arriving late, leaving a journey early or choosing not to use a confirmed service does not normally create an automatic refund. Contact PCTI immediately if disruption may affect your arrangements so that we can try to protect the remaining services.

8. Travel insurance

We strongly recommend comprehensive insurance from the time you confirm your journey, with cancellation, medical, curtailment and disruption cover suitable for your circumstances and planned activities. Coverage decisions belong to the insurer. On request, PCTI can provide booking documents reasonably available to support your claim, but cannot make or guarantee the claim for you.

9. Questions and applicable rights

Please ask about any cancellation condition before making payment. Nothing on this page excludes a right or remedy that cannot lawfully be excluded. If you have a concern about a calculation, contact us with the booking reference and we will review it against the confirmed terms and supplier records.

The confirmed proposal is decisive

Keep the final quotation or invoice supplied for your journey. It records the payment schedule, cancellation dates and any special non-refundable arrangements accepted for that booking.
